Policy writing for NDIS providers

Your policies say one thing. Does your practice say the same?

We write and rewrite your policies for the new NDIS changes, then build the evidence that shows they're actually happening. An audit-ready evidence system, not just a policy folder.

The real problem

Audits check what you do, not just what you wrote.

A template can look complete and still fail. The most common gap is a policy that says one thing while the team does another. Auditors look for proof that each policy is actually happening, in five places:

  • RecordsParticipant files, service agreements and case notes that match the policy.
  • ConsentSigned, current and stored where you can find it.
  • IncidentsA register that's filled in and followed up.
  • ComplaintsLogged, answered and learned from.
  • WorkforceScreening, training and staff who can explain the process.

"One of the biggest misconceptions about certification audits is that they're mainly about policies and documents."

"I'm feeling a little confused and overwhelmed about how the certification audit process applies…"

Before and after: an incident management policy.

The same policy section, as a generic template and as we'd rewrite it for one provider.

4.2 Incident Reporting

The Organisation shall ensure that all incidents are identified, reported, recorded and managed in accordance with relevant legislation, regulations and the NDIS Practice Standards in a timely manner. All Workers are required to comply with this Policy. Appropriate action shall be taken as necessary.

Who reports? To whom? By when? Where is it recorded? The template doesn't say.

Straight away

Same shift
Phone your team leader (roster has the on-call number), then fill in the incident form in ShiftCare before you finish.
Within 24 hrs
The team leader decides if it's a reportable incident. If so, the director notifies the NDIS Commission within the required timeframe.
Proof at audit
Incident register entry, the notification record, and staff training sign-off for this policy.

ShiftCare is used here as an example of the kind of system a provider might already use. We write policies around your tools, not ours.
